    The personal data referred to in this privacy policy are information about you that allow us to identify you directly or indirectly. We may collect, use, store, and transfer different types of information about you, which we have grouped as follows:

    WEBSITE NAVIGATION

    When you browse Delox’s website, we use cookies to analyze traffic data regarding visits to the Website, including information on how you use our Website, to support our Website improvement and marketing activities.

    Some of these cookies may collect personal data, such as your Internet Protocol (IP) address, login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, and other technologies present on the devices you use to access the Website.

    CONTACT FORM

    When you send us a message through the contact form available on the Website, we store your contact details (name and email), subject, and message to respond to your request personally, based on Delox’s legitimate interest in responding to contact requests addressed to it.

    RESOURCE DOWNLOAD FORM AND NEWSLETTER

    When you download one of the contents available on the “Resources” page of the Website, we store your contact details (name, company, position in the company, and email) to send you informational and direct marketing communications about Delox and its products. The legal basis for processing these data is your consent.

    The newsletters we send contain a tracking pixel. This pixel is a small graphic inserted in the file that provides us with indications about the opening of newsletters and any links included, helping us optimize newsletter delivery and identify the content most relevant to our customers and subscribers.

    You may unsubscribe from the newsletter at any time and no cost by clicking on the link at the bottom of the newsletter. If you do so, your email will be automatically removed from the recipient list, and you will no longer receive the newsletter.

    EMAIL CONTACTS

    When you send us a message via the email provided on the Website, for example, requesting information about our products, we will process your contact details and the content of your message to respond to your request, based on the legal grounds of the need to take pre-contractual steps at your request or Delox’s legitimate interest in responding to contact requests, depending on the purpose of your communication.

    SOCIAL MEDIA CONTACTS

    When you contact us through our LinkedIn page by commenting, reacting to our content, or sending direct messages, we process your identification data, such as the username you use on that network and the content of the messages you send us, to respond to your inquiries and comments personally, based on Delox’s legitimate interest in responding to interactions with its followers and supporting their interest in the company and its products.

    4. DATA RETENTION PERIOD

    The data we collect will be processed for the time strictly necessary to fulfill the purposes for which they were obtained. Once the maximum period is reached, your personal data will be anonymized or securely deleted.

    The most relevant retention periods are:

    • Website navigation – We will process your data until you withdraw your consent and for the periods during which cookies remain active. You can check these periods in our Cookie Policy.
    • Contact form – We will process your data for the time necessary to respond to your request. These data will then be archived along with documentation related to the business relationship that may be established or, if the contact does not continue, will be deleted after 3 months.
    • Resource download form and newsletter – We will process your data until you inform us that you no longer wish to receive the newsletter or as long as you remain an active subscriber, defined as a subscriber who opens the newsletter and/or clicks on one of its links at least once within a 2-year period. Inactive users, who have not opened any newsletters in the past 2 years, will be removed from the database, and their data will be deleted.
    • Email contacts – We will process your data for the time necessary to respond to your request. These data will then be archived along with documentation related to the business relationship that may be established or, if the contact does not continue, will be deleted after 3 months.
    • Social media – When associated with comments, likes, or other interaction features provided by LinkedIn, your data will remain on our pages as long as they are published. If you wish for these data to be deleted, you may remove them at any time or request us to do so. Your direct messages will be processed for the time necessary to respond to your request. These data will then be archived along with the documentation related to the business relationship that may be established or, if the contact does not continue, will be deleted after 3 months.

    5. DATA RECIPIENTS

    The personal data we process may be shared with entities subcontracted by us to provide support, under our responsibility and supervision. These entities include:

    • Technology service providers and their subcontractors and partners
    • Digital marketing service providers

    6. DATA TRANSFER OUTSIDE THE EUROPEAN UNION

    In most cases, the personal data we collect will be processed in Portugal or in EU countries. Some information may be sent to other countries where some of the companies providing us with technology and marketing services are located.

    When we transfer personal information outside the EEA, the UK, or Switzerland, we require recipient companies to provide appropriate security and data protection safeguards equivalent to those in the EU.     Delox implements physical, technological, and organizational security measures to protect personal data against destruction, loss, alteration, disclosure, or unauthorized access.

    These measures include:

    • The entire Website and its platform use an HTTPS/SSL encrypted connection, following recommended best security practices;
    • We store the data we collect in encrypted databases and perform periodic backups to reduce the risk of information loss in case of a system failure. The hosting server also features a firewall system and standard protection for web hosting;
    • We monitor access to the Website to prevent, detect, and block unauthorized access. The platform we use is protected by a security module that limits and blocks unauthorized access attempts and detects and blocks malware attacks;
    • The number of people with access to your data is restricted and limited to the purposes mentioned above;
    • We require subcontracted partners and service providers handling personal data to provide proof that they maintain an equivalent level of security.

    8. YOUR RIGHTS AS A DATA SUBJECT AND HOW TO EXERCISE THEM

    Depending on the purpose and legal basis for processing your data, you may exercise the following rights:

    • Request the deletion of your personal data when they are no longer necessary for the purposes for which they were collected or when we no longer have a legal basis to process them.
